The nine most common complaints that property management clients have put online in the last few months can be arranged into these four categories: Communication, Technology, Fees, and Professionalism. Let’s talk about each category and what you can do to improve owner satisfaction. Communication Keeping open communication is vital, if owners can't get a hold of you, they get apprehensive about their property. When it comes to communication, there are four main complaints that property owners mentioned: Response Time. If there was one recurring theme from the owner reviews that we read, it's that property managers are hard to reach. When you take a long time to respond to an email or a call, it makes your clients lose trust. The fact that they aren’t hearing from you makes them doubt your process and what’s going on. That’s going to damage your client relationships. Be very cognizant and make sure that you and your staff are accessible to your clients. If there was one thing that you are going to implement on this list, make sure it is this one, and you'll find that you'll avoid almost half of the negative reviews you receive! Phone tag. You don’t want to create a situation where you and your client are missing each other. It's a frustrating process for both parties, and something that we have seen come up multiple times in reviews. Make it a part of your process, when you're out, for someone to answer your phone and arrange a specific time that you will call back. The finance is more important than the property. Now, that may sound strange, but unless the finances - and your finances means both personal and investment finances - are constructed properly, you can be locked in and you've got no room to move. Now, there are some main points that you need to ask your finance broker or the bank, and if you get educated on these points then you will go into it with a clearer vision. One of those things is: What are my finances now? Am I paying too much, can we consolidate, can we get rid of some of the credit cards, can we reduce the limits? These are the questions that you should be asking to find out what you need to know. We will explain it for you, but don't take our word for it - get other advice as well. The most important thing about your budget is that you can afford it without affecting your current lifestyle. If not, then you're not really ready for buying property at that time. The other things that you need to understand about the property system are that there are roughly four splits in every loan. One will generally be for the house and land, one can be for personal loan, and one will be for the investment property. Because the tax office want to see a clear separation between the bills that are being paid in and out of the investment property, you will need to keep them separate from what's happening, as you can't pay the rates out of the investment property account. That's not really considered a good move and the tax office can make a huge fuss about that. So they're the sort of questions that you need to be aware of, and that's what we like to educate you about , so that when you go you also need to have what we call a buffer account. A buffer account is a little offset account attached to the loan. It might be say $10,000; it could be two years negative gearing payment. Also included in that could be two years worth of income protection insurance to make sure you don't lose any assets while it's gone. Now, you will have some costs along the way. Those will be the rates and a few other things such as water, gas etc. All of those type of things can come out of the buffer account. At tax time, when your tax rebate comes in, that's when you can put that money back in the buffer account, so that it just keeps rolling over and doesn't cause you any financial hardship throughout the year. These are the kinds of things that you need to be made aware of. You can ask these questions to the bank, to your broker, or we can supply you with all the information that you need regarding these issues.
